Job Posting: Chief of Staff
Location: Headquarters, Portland, Maine
Reporting To: Managing Partner
SUMMARY
The Chief of Staff is a trusted partner responsible for managing and driving the daily activities of the organization. This role will drive the company’s success by ensuring alignment between business goals and the company’s priorities, actions and team.
ESSENTIAL DUTIES AND RESPONSIBILITIES include
- Provide general oversight of all company activities, manage day-to-day operations, and assure a smoothly functioning, efficient organization
- Serve as liaison between leadership and other partners, clients and/or stakeholders to ensure consistent communication and timely involvement
- Set strategic priorities and direct team’s focus accordingly
- Serve as project manager as needed for business and philanthropic projects
- Prioritize time, projects and inflow of information to managing partner and leadership
- Serve as communication lead; draft/review internal and external communications (emails, letters, etc.)
- Manage meeting cadence, preparation and follow through ensuring meeting objectives are clear and achieved, and time is well spent
- Lead and manage company’s contracts, including IT, marketing, public relations and other external resources and partners
- Represent leadership in meetings, by email/phone if they are unable to attend
- Create and maintain systems and processes to streamline operations
- Establish standards and procedures for hiring and managing the office staff and personnel
- Maintain accurate confidential files and data records

- Research associates / MBA-program fellows
- Contractors and external partners
QUALIFICATIONS
- Bachelor’s degree. Advanced degree or equivalent experience preferred.
- 10+ years’ experience with proven ability to lead and manage a team of professionals

- Strong leadership with experience in managing staff
- Ability to work strategically and collaboratively across teams and projects
- Excellent written and verbal communication skills and ability to effectively operate with all levels of an organization
- Proactive, highly organized, detail oriented and self-motivated
- Effective, versatile and action oriented
- Able to maintain a sense of urgency, sustained drive, high level of energy and positive outlook
- Must have strong quantitative, analytical, and problem-solving skills and keen attention to detail
- Able to adapt quickly to shifting priorities and timelines
- Strong working knowledge of Microsoft Office applications (Word, PowerPoint, Excel, Outlook)
